Guest Service Representative DEPARTMENT:

Summary:
Handle the requests and transactions of the hotel guests, and coordinate with the other departments as necessary.
ESSENTIAL FUNCTIONS 1.
Check guests in and out of the hotel, make reservations and keep front office in order.
2.
Treat all walk-ins, phone calls, conversations and reservations as an opportunity to get a lead and probe for cross-sell business.
Close the sale.
3.
Review in-house guest list daily for potential leads.
4.
Collect business cards and email addresses from each guest.
5.
Occasionally work with the Lead Generation Group to book room nights when the group has uncovered a particularly urgent lead.
6.
Follow up on leads immediately.
7.
Utilize lead sheets to track leads.
8.
Administer hotel guest payment policies.
9.
Handle hotel phone system and transfer calls.
Take messages for guests, as well as hotel staff, when necessary.
10.
Take, modify and cancel guest reservations, noting any special requests.
11.
Assist in the verification, balancing and revenue maximization of hotel's suite availability.
12.
Coordinate with other departments to fulfill guest special requests.
13.
Communicate Candlewood facilities, amenities and services to guests at check-in.
14.
Answer guest questions regarding local area facilities.
15.
Responsible for shift cash transactions.
16.
Responsible for maintaining hotel key security system.
17.
Administer guest safe deposit boxes.
18.
Know hotel emergency procedures.
19.
Inform Housekeeping of vacant dirty rooms, as guests checkout.
20.
Update room status as Housekeeping notifies the desk of changes.
21.
Read and communicate through the Logbook daily.
22.
Distribute mail to guest boxes or room and to Candlewood staff.
23.
Track status of rooms used for tours and status of rooms in Maintenance.
24.
Notify Housekeeping and Maintenance of any reported problems with rooms or grounds.
25.
Carry out any reasonable request by management that you are capable of performing Job Types:
